By using Monocle, you agree to this policy. If you do not agree, please do not use the Service.

Scope of This Policy

This Privacy Policy applies to the use of Monocle by both individual and enterprise users. If you upload, share, or connect data on behalf of a company or other entity, you represent that you have the authority to do so and accept responsibility for that data's use under this policy.

Information We Collect

A. Information You Provide Directly

When you use Monocle, we collect and store the information you choose to provide, including:

  • Your name, email address, and login credentials
  • Uploaded content such as documents, notes, files, or customer data
  • Communications with our team, including support inquiries and feedback

B. User Responsibility for Uploaded Data

Monocle enables users to upload and manage content, including customer or third-party information. You are solely responsible for the content you submit to the platform, including verifying that you have lawful rights to collect, use, and share such data.

Snowise does not independently verify uploaded data and assumes no liability for content accuracy, legality, or compliance. You must ensure your use of Monocle aligns with all applicable data privacy regulations (such as GDPR, CCPA, or industry-specific standards).

If you upload or integrate data concerning other individuals, it is your duty to obtain appropriate notices or consents where required by law.

C. Third-Party Integrations

Google Calendar Integration

When you connect your Google Calendar to Monocle, we access and use your calendar data as follows:

  • What we access: Calendar events including titles, times, locations, descriptions, and attendee lists
  • What we do: We can read, create, modify, and delete calendar events on your behalf
  • How we use it: To display your meetings, enable AI-powered meeting preparation, schedule follow-up tasks, and help you manage customer relationships
  • Bidirectional sync: Events created in Monocle will appear in your Google Calendar, and changes made in either platform will sync automatically
  • Data retention: Calendar data is cached temporarily for performance and synced in real-time. Historical meeting data is retained as part of your customer interaction history
  • Control: You can disconnect Google Calendar at any time from your settings, which immediately stops all calendar access and syncing

Other Integrations

If you connect other services like HubSpot, we may access metadata or content as permitted by those services. You can revoke access at any time.

We only access the data required to provide the integration's core functionality. We do not store, index, or analyze integrated content beyond the scope of user-intended use. Integration permissions can be managed or revoked at any time within the settings of the third-party platform or Monocle.

D. AI-Powered Features

Monocle uses artificial intelligence to enhance your productivity:

  • Owlbert AI Assistant: Analyzes your calendar and tasks to provide scheduling recommendations and reminders
  • Meeting Summaries: AI-generated summaries of your meeting notes
  • Smart Templates: AI-powered meeting templates based on meeting type
  • Task Suggestions: Intelligent task scheduling based on your calendar availability

AI processing occurs using third-party services. Your data is processed securely and is not used to train AI models.

How We Use Your Information

We use your information to:

  • Provide and maintain the Service
  • Personalize your experience and AI recommendations
  • Improve product performance and develop new features
  • Communicate with you (e.g., updates, support)
  • Comply with legal obligations

We do not use your content or data for advertising or marketing purposes.

Sharing of Information

We may share your information only with:

  • Service providers who help us operate Monocle (e.g., cloud hosting, analytics). These providers are bound by confidentiality and data protection agreements.
  • Legal or regulatory entities if required by law, subpoena, or court order.
  • Successors in the event of a merger, acquisition, or asset sale — with prior notice provided.

We do not sell or monetize your personal data.

Data Retention and Security

  • We retain your data only as long as necessary to provide the Service or as legally required.
  • Your data is stored on secure cloud infrastructure with encryption in transit and at rest.
  • We follow industry best practices for access controls, monitoring, and security standards.
  • All integration data is subject to the same encryption, access controls, and privacy protections as native platform content.
  • We are actively working towards SOC 2 Type I compliance to further strengthen our security posture.

We use cookies and third-party analytics (e.g., Google Analytics) to understand usage trends and improve our product. You can manage your cookie settings in your browser.

Your Rights

Enterprise Users & Customer Data

If you use Monocle on behalf of an enterprise or in connection with business customer data, it is your responsibility to:

  • Ensure your organization's policies allow use of Monocle and its integrations
  • Limit data uploads to only what is necessary
  • Notify your customers, employees, or data subjects if required by applicable law

Monocle provides features to support secure handling of enterprise data, but we do not act as the controller of your customer data. If requested, we can sign a Data Processing Agreement (DPA) in accordance with GDPR or CCPA obligations.
